Guest Welcome Guide Template (Printable, 2 Pages)

Arrival is a scanning hour, not a reading hour. This free welcome guide template gives guests one page of hello and the house rules, then a second page with the wifi, the checkout list, and three local picks. Fill it in by hand, print it, leave it on the counter. When your place outgrows two pages, the 22-page host binder takes over.

How to use this page: print both pages at 100% scale (the site chrome drops out on paper). Page 1 faces the guest: three write-in lines of hello and the house-rules box. Page 2 carries the codes and the checkout list; it changes more often, so reprint it alone whenever a code rotates. This is the free printable cut of the guest welcome book: no email gate, print as many as you need.

Page 1: a note and the rules

The welcome note is three lines, not a letter. A warm hello from you, one quirk of the house, one way to reach you. Under it sits the house-rules box: five write-in lines from quiet hours down to everything else. Five is deliberate. A short list gets read at the door; a long one gets skimmed and forgotten.

Five lines on purpose. A rule that can't fit here belongs in the listing, where guests read it before booking.

Fits A4 and US Letter at 100%. Grayscale prints fine.

Page 2: codes, checkout, three picks

Codes rotate, so they get the reprint page: wifi, door, and whatever else unlocks on your place, four lines in one box. The checkout checklist runs as five checkboxes, the same list every stay. The local-picks box holds three lines: coffee, dinner, one place worth the drive. Your picks in your words; nothing here needs a brochure pile.

Four opinions on the one-page guide

Opinions, labeled as such, take or leave:

  1. One page beats a PDF binder. (Opinion.) Arrival is the worst moment to hand someone a document. One flat sheet on the counter answers the first-hour questions; a file on a tablet assumes a charged tablet and a guest willing to scroll.
  2. Hang it where bags drop. (Opinion.) Kitchen counter, fridge door, next to the coffee maker. If the sheet needs a search, it won't get read.
  3. Five rules is the ceiling. (Opinion.) Everything past five lines turns into fine print, and fine print is easy to ignore. The long version belongs in the listing, where guests read it before booking.
  4. Date it in the corner. (Opinion.) Codes and passwords rotate. A small date tells you which copy is current and which one heads for the trash.

When two pages run out

This sheet is page 7 of a bigger system. The full binder covers one property end to end:

A 22-page printable paper system for running one rental property between stays. One binder per property: set it up once with the profile and amenities pages, then work it after every checkout. The calendars, logs and trackers are undated, so the binder works any season and any year.

The binder holds the property profile and the 30-item amenities checklist you fill once, turn-over checklists you work after every checkout, this welcome sheet in photocopy-per-stay form, four undated reservation calendars, a 20-row check-in/out log, a 30-row maintenance and repair log, a 40-line restock shopping list, a 20-row review tracker, a utility reading log, a damage and deposit log, and pricing notes. The vacation rental restock checklist covers the pre-arrival run, and the turnover cleaning checklist covers the between-stays reset. For other cuts of the same welcome pages, see the host welcome book template and the guest welcome book template.

A welcome sheet organizes your own house information; it is a household organizer and record keeper, not legal, tax or financial advice. Deposit, insurance, tax and rental rules vary by location: check your local authorities and your own listing terms.
