Apply to two funding programs and the deadlines start stepping on each other. One portal closes at 17:00 on a Tuesday, another accepts email until midnight in a time zone you have to look up. This calendar puts the dates on one sheet. Page 1 is a 12-row deadline table: funder, grant name, due date, and a status circle you fill in by hand. Page 2 tracks the materials still missing and leaves room for reminder notes. It works the same for a solo developer chasing ecosystem grants and for a research organization running several proposals at once.

This sheet covers the runway before you submit. Once an application is gone, the grant application tracker template takes over the log.

Circle the stage each row sits in and re-circle when it moves. Take the due date from the funder's own page, and write the time and time zone with it when they list one. Ctrl+P (or Cmd+P) prints the sheet.

"Who has it" is the column to watch: a reference letter, a budget sign-off, a team bio living in someone else's inbox. A blank there is the row to chase first.

Reminder notes

One habit, opinion: work backwards from the due date. If the portal closes on the 28th, the finished draft belongs around the 21st and the last material around the 14th. Write the backwards dates here, not the official one alone.

4 opinion tips for a grant deadline calendar

Opinions, labeled as such. These held up for us; take or leave:

  1. Set the reminder two weeks before the due date. (Opinion.) Two weeks absorbs the portal account you still have to create, the letter someone owes you, and one failed upload. One week absorbs one of the three.
  2. Write the time and time zone next to every date. (Opinion.) "March 3" and "March 3, 17:00 CET" are different deadlines, and the funder's page decides which one is real.
  3. Enter the deadline the day you hear about the program. (Opinion.) Thirty seconds, while the funder name and program page are still open in a tab. "I'll add it later" is how a row stays empty until the date has passed.
  4. Review the sheet on a fixed day each week. (Opinion.) Move the circles, chase the blank "who has it" cells, cross out programs that closed. A calendar read once a week does its job; one read the night before a deadline is decoration.

What this page is

A tracking sheet. It records dates, materials and stages; it doesn't evaluate your chances, doesn't promise funding, and doesn't pick programs for you. Deadlines and requirements come from each funder's own page, and programs change them often enough that the sheet needs re-checking against the source before you plan around a date.
