Circle the current stage every time you touch a row, and fill "Submitted" only after the portal confirms receipt. Write the next-follow-up date the same day you submit, so the column stays a schedule instead of a wish list. Hit Ctrl+P (or Cmd+P) to print.

"What's due" can be the application cutoff, an internal draft deadline, or a follow-up you promised someone. Fill "Days left" when you print the sheet and update it by hand.

The last quote matters: a tracker and a database organize your work, and neither one promises an outcome. That stays true here.
