Small Business Expense Tracker Printable

Spending for a small business arrives five ways at once: card, cash, invoice, subscription renewal, and the pocket receipt that fades. This page gives that spending one place to land, on paper. Print two pages free: a 14-row expense log where you write the date, item and amount and circle a category, then a monthly summary table, three receipt-filing lines, and a recurring costs box. Write-in only, no software needed, prints tonight.

How to use this page: print at 100% scale (site chrome drops out on paper). Page one is the daily log: one row per expense, date first, then the item, then circle office, travel, software or other, then the amount. Page two closes the month: total each category into the summary table, note where the receipts went, and list the costs that repeat every month. Print a fresh pair for each month.

Page one: the expense log, 14 rows

Fourteen rows is about two weeks of ordinary small-business spending, and a page you can finish beats a ledger you abandon. Nothing is pre-filled: no sample rows, no amounts someone else made up. The category circles are labels for sorting, the four a small business hits most: office, travel, software, other. Circle one as you write the row, because the circles you fill on paper are the same ones a spreadsheet totals later.

carry rows past 14 on a second log page: print this sheet twice and date both

Fits A4 and US Letter at 100%. Grayscale prints fine.

Page two: close the month

The summary table is the whole point of the log: five rows that turn two weeks of circles into five numbers. Total the office column, the travel column, software, other, then all four together on the last row. The receipts lines record where the paper went, so a receipt is findable by memory instead of by luck. The recurring costs box holds the charges that arrive without anyone deciding anything: subscriptions, rent, insurance, the phone bill. Listed flat on one page, they are the quickest read of the fixed side of the month.

Four opinions on running the log

Opinions from building record-keeping pages like this one. Take or leave:

  1. Write the row the same day. A same-day entry takes half a minute while the receipt is still in reach. Rebuilding two weeks of spending from card statements takes an evening and still misses the cash.
  2. Circle the category while the pen is out. Categorizing at write time is one decision per row. Categorizing at month end is a batch of guesses over rows that all read "store".
  3. Fill the recurring box first. The fixed costs are known on day one, and once they sit in one box, everything in the log that month is a choice you made. That split is what makes the summary readable.
  4. File receipts by week, in one place. A week envelope matches how the log rows build up. The three filing lines on page two exist so the envelope has a name and the pile stays small enough to search.

What this page is

A record-keeping and organization page. It gives spending a place to be written, sorted and totaled so a small business owner can see where the month went. The categories are generic sorting labels. Nothing here is tax advice, nothing here is financial advice, and no number on these pages means anything beyond what you wrote in. Tax rules differ by country and situation; confirm anything tax-related with your accountant or your tax authority.
