Petty Cash Log Printable

Petty cash is the money that never touches the card: bus fare, stamps, the hardware part, the tip for the courier. It's also the money nobody can account for by Thursday. This page gives it one place to land, on paper. Print two pages free: a 10-row petty cash log where you write the date, what it bought, who took it and the amount, then circle whether a receipt exists; then a balance-forward table for five counting sessions and a float top-up box. How to use this page: print at 100% scale (site chrome drops out on paper). Page one is the daily log: one row per cash payment, date first, then what it bought, then who took the cash, then the amount, then circle Y if a receipt went in the envelope or N if there is none. Page two closes each counting session: write the balance brought forward, what the log says went out, what you actually counted in the box, and the balance carried forward. Top up the float in the box at the bottom. Print a fresh pair each month.

Page one: the petty cash log, 10 rows

Ten rows is one session of ordinary small spending, and a page you can finish beats a ledger you abandon. Nothing is pre-filled: no sample rows, no amounts someone else made up. The "Who" column is whoever took the cash out, because a petty cash box only stays honest when every withdrawal has a name next to it. The receipt circles are a record of paper, not a claim: circle Y when a receipt went into the envelope, N when the payment left no paper behind.

Page two: balance forward

A balance-forward table is how a log stays connected to the box between sessions. Each row is one session: the balance brought forward from last time, what the log says went out, the cash you actually counted in the box, and the balance carried forward. The receipts line records where the paper went, so a receipt is findable by memory instead of by luck. The top-up box at the bottom holds the two lines that keep the float a known number: when it was topped up and the new total after the top-up.

Four opinions on running petty cash

Opinions from building record-keeping pages like this one. Take or leave:

  1. Count the box, not the receipts. The log and the envelope are paper; the counted cash is the fact. When a session row doesn't add up, recount the box first, then let the receipts explain the gap. A receipt for money that isn't in the box is a lead, not a balance.
  2. Write the row when the cash leaves. Same hand, same moment, half a minute. Rebuilding a week of small payments from a coin pocket and memory misses most of them.
  3. Circle Y or N while the pen is out. The receipt question answers itself at the counter and never again after. Rows circled N are the honest ones: they say upfront there is no paper to find.
  4. Top up on a schedule, in writing. A fixed topping day (say, every Friday) beats topping up when the box feels light, and the top-up goes on page two in the box provided. A float with a written total is a number; a float with a vibe is a leak.
